What to hand off first when you outsource your bookkeeping

• Accounts payable — the most standardized, lowest-risk function to hand off first.
• Bank reconciliation — repetitive, rules-based, and immediately visible if something's off.
• Accounts receivable follow-up — time-consuming for you, routine for a dedicated team.

Most firms make the mistake of trying to hand off everything at once — payroll, close, tax prep, AP, AR — in the same month. It rarely goes well, not because outsourcing doesn't work, but because you've removed your own ability to sanity-check the transition while three things are changing simultaneously.

Why AP first

Accounts payable is the easiest function to outsource cleanly because the inputs are unambiguous — an invoice arrived, it needs approval, it needs to be paid by a date. There's very little judgment required, which means very little room for the kind of quiet disagreement about "how we do things here" that slows down messier handoffs.

It's also the function where errors are cheapest to catch. A miscoded invoice shows up in the next reconciliation. A missed payment shows up as a vendor call. Nothing about AP failing quietly costs you a client relationship the way, say, a botched month-end close might.

Hand off the function where a mistake is loud, not the one where a mistake is quiet.

Then reconciliation, then AR

Once AP is running clean for a full cycle, bank reconciliation is the natural second step — it's the function that validates everything else is working. AR follow-up comes third, mostly because it benefits from a team that's already learned your chart of accounts and your clients' quirks from the first two.

Payroll and full month-end close are usually last — not because they can't be outsourced well, but because by the time you get there, you'll have a much better sense of whether this team has earned the harder work.
